About the Role
We are seeking an experienced Operations Manager to lead the daily operations of the company under the direction of the Founder, Emily Fletcher. The area of responsibility for this role is very wide and thus requires thorough knowledge of customer service, event coordination, CRM management, and technology.
Working for a leading expert in meditation, you will need to have a passion for optimal health and a willingness to take the Ziva course and practice meditation. Much of your job will be to support people as they move through their meditation journey, so it is important that you can speak from firsthand experience.
The Operations Manager’s role requires the highest levels of organization and accountability. Your days will be varied and include working independently 60% of the time and at the Ziva studio 40% of the time for weekly work sessions, monthly staff meetings, and bi-monthly courses.
*Customer Service Management. Give Ziva customers an incredible experience with warm, caring, attentive customer service support via phone and email. You’ll also supervise customer service assistants on staff.
*Manage our CRM – you should be someone who loves the nitty gritty side of solving problems through technology and are great with learning new softwares and systems yourself.
*Manage our financials – be a rockstar with the numbers, you’ll be handling bookkeeping, financial reporting, payments, managing accounts receivable, and depositing checks.
*Website backend work – we have developers on staff but you’ll need to know some light WordPress and HTML (or be very fast and willing to learn) to be able to make updates to our site.
*Event planning and management: from our twice monthly Intro Talks to our big events (mass meditations on the HIghline and Bryant Park are some of them), you’ll be team lead on making sure our staff and vendors know what they need to do, and our students are well taken care of.
*Space boss: you’ll be in charge of Ziva’s beautiful studio. You’ll be the lead on space rental, scheduling, and calendars, and making sure our work study students keep the place sparkling.
*Staffing: You’ll schedule teachers as needed for our events, and you’ll co-manage our part-time staff, freelancers, and work studies. You’ll have some HR duties- past supervisory experience is a plus.
*Make it Up as You Go: We’re doing a lot of new projects- in addition to our live and online courses, we’ve recently partnered with some big players in the wellness and education spaces. You may be doing everything from booking a photographer to drafting a contract to overseeing app development. If that sounds exciting to you – this is for you.
Requirements. You have:
*Excellent organizational and leadership abilities. Great memory and incredible attention to detail.
*Strong follow through, and are known for getting things done.
*Outstanding logic, judgement, communication and people skills
*Ability to work well within a team, and excel independently
*Strong computer abilities. Ideally you are great with Quickbooks, Ontraport (or similar CRM), Site5 (or similar website host), Asana (or similar task management software), HTML & WordPress
*Proven experience as Operations Manager, high level administration, executive assistant, or equivalent position. 1-3+ years is optimal.
